- Event participationTeams can register and participate in events.
- Paid eventsSome events may require a payment to participate. The price is set by the event organiser.
03Payments and fees
- Payment processingPayments are processed securely by Stripe Payments Europe, Limited ("Stripe"), a licensed third-party payment provider. SquadUp does not store your card details — they are collected directly by Stripe, which is PCI DSS Level 1 certified.
- SquadUp's role in the transactionSquadUp acts as a technical introduction platform and as a payment service provider via Stripe Connect. The organiser is the final recipient and the only party to the service contract concluded with you; SquadUp is not a party to that contract and does not resell the organiser's services.
- Service feeA service fee of 13% of the event price (with a minimum of €0.35) is added on top of the event price set by the organiser. This fee covers Stripe processing costs and the SquadUp platform commission. Belgian VAT (21%) applies to this service fee — it is collected by ITsGenius and remitted quarterly to the Belgian tax authority (SPF Finances). The organiser only receives the price they set. The full breakdown (price, fee, VAT) is shown before payment confirmation.
- CurrencyAll prices are displayed in the currency chosen by the event organiser (default: EUR).
- ConfirmationYour participation in a paid event is only confirmed once the payment has been successfully processed.
- Payment methodsWe accept credit/debit cards (Visa, Mastercard), Bancontact, Apple Pay and Google Pay. Available methods may vary by region and currency.
- Strong Customer Authentication (SCA / 3D Secure)Under the European PSD2 directive, Stripe may ask you to confirm your payment with strong authentication (3D Secure, SMS code, biometrics). This step is mandatory for most payments initiated from the European Economic Area.
- Label on your bank statementThe payment may appear on your bank statement labelled "SquadUp" or under the organiser's legal entity name, depending on the payment method and the configuration of their Stripe account.
04Refund policy
- EligibilityRefunds may be issued if the event is canceled by the organiser or if you cancel your participation before the event starts, subject to the organiser's cancellation policy.
- Processing feesStripe's payment processing fees (~1.5% + €0.25) are never refunded by Stripe. If you cancel your own participation, these fees remain at your expense and the refund will be slightly lower than the original payment. If the organiser cancels the event, you receive a full refund and the organiser bears those fees. SquadUp keeps no commission on cancellations.
- TimelineRefunds are processed within 5 to 10 business days depending on your bank.
- No refund after eventNo refund is possible once the event has started or ended.
- DisputesIf you believe you are entitled to a refund that was not processed, contact us at [email protected].
